Job Requirements

  • Excellent organizational and time management skills.
  • Strong communication skills, both written and verbal.
  • Proficiency in project management software/tools (e.g., Microsoft Project, Asana, Trello).
  • Attention to detail and ability to maintain accurate records.
  • Ability to work well independently and as part of a team.

  • Basic understanding of project management principles and methodologies.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Job Scope

  • Administrative Support: Provide administrative support to project managers and project teams, including scheduling meetings, taking minutes, maintaining project documentation, and handling correspondence.
  • Coordination: Assist in coordinating project activities, resources, and deliverables. This may involve liaising with various stakeholders, tracking progress, and ensuring tasks are completed on time.
  • Documentation: Maintain project documentation such as project plans, timelines, status reports, and risk registers. Ensure all documentation is accurate, up-to-date, and accessible to relevant stakeholders.
  • Communication: Facilitate communication between project team members, stakeholders, and clients. This includes distributing information, resolving queries, and providing regular updates on project progress.
  • Risk Management: Assist in identifying, assessing, and mitigating project risks. This may involve monitoring potential issues, escalating concerns to the project manager, and implementing risk mitigation strategies.
  • Quality Assurance: Support quality assurance processes by conducting reviews, ensuring adherence to project standards, and identifying opportunities for improvement.
  • Research: Conduct research as needed to support project objectives. This may involve gathering data, analyzing information, and providing insights to inform decision-making.
  • Training and Onboarding: Assist in training and onboarding new team members or stakeholders. Provide guidance on project processes, tools, and best practices.
  • Budget Tracking: Assist in tracking project expenses and budgets. This may involve monitoring expenditures, preparing financial reports, and identifying cost-saving opportunities.
  • Continuous Improvement: Contribute to the continuous improvement of project management processes and methodologies. Share feedback, lessons learned, and recommendations for enhancing efficiency and effectiveness.
